What Are the Steps in Planning a Party?

Jody's Top 10 Tips for a Successful Party

from professional event planner Jody Taylor-Smith

Some people have a knack for throwing together a last minute party and the ability to turn a special occasion into something so much more, while others of us have a hard enough time keeping track of the number for our favorite take out joint.

Use these 10 simple tips to help you save time, save money and save your sanity while pulling off an unforgettable party … and once and for all program the number for that little Thai place you love so much into your cell phone!

Here are the steps I use in planning a party:

1. Plan, prepare, execute

Even if you decide at 4pm to have your co-workers over for BBQ at 6 you still need to take a minute to get a game plan in place, prepare yourself and your space, and execute your plan.  This is the most important first step in planning a party or event.  Read our Event Planning Tips for more details.

2. Make lists, lists and lists

Lists will keep you on track and organized. If you have at least a week to plan start a list for each day of what needs to get done, purchased, and prepared.

3. Location

Always pick a location that works for you and your guests. Think about commute times to get to and from the location, available parking and amenities.

4. Guest list

Be conscious of who you are inviting and how each individual will add to the dynamic of your party.

5. Set and stick to a budget

Some really great parties can survive on a good guest list and minimal frills, but there are some necessities you can’t go without. So be sure to put down a dollar figure you can live with spending and stick to it! Otherwise the party may not be a bust but you could end up flat busted.

6. Pay attention to details

Do any of your guests have special dietary or accessibility needs?

7. Don’t forget the background

The foreground of the party should always be you and your guests – but don’t forget about your surroundings. Wherever you host be sure it is neat and tidy, inviting and comfortable, pay attention to lighting and pick some good music.

8. Use the season to your advantage

Themes can sometimes be overwhelming or over the top, but using your season can help to really set the mood for your party without going overboard. Pick a seasonal location, seasonal flowers, foods and even wines to add to the flavor of your party.

9. What if?

Always have a back-up plan for everything, especially being able to communicate quickly with your your invited guests in case something goes really wrong.

10. After they leave

Take a moment for yourself and revel in your party success. Jot down what went well and what didn’t for the next party you whip together.
